Accounting integration · Limited rollout
Connect GMX with QuickBooks Online
Keep your wholesale invoices and accounting connected, with review before incoming financial changes are applied in GMX.
Open integration settingsSign in with your GMX account to continue.
What the integration does
- Publish eligible GMX wholesale invoices to the assigned QuickBooks company, using reviewed customer matches and accounting mappings.
- Record payments already received and recorded in GMX against their QuickBooks invoices. This integration records payments; it does not collect or transfer money.
- Compare QuickBooks payment changes with GMX and present them for approval by an authorized user. Turning on automatic sync does not approve incoming financial changes.
- Connect multiple companies and assign manufacturers to the appropriate books. Each company keeps its own settings.
Before you connect
You need an approved GMX seller organization, seller administrator access, and permission in QuickBooks Online to authorize the company. GMX uses its own sign-in; signing in with Intuit is not required to access GMX.
The initial integration supports eligible US, USD, non-tax invoices. Existing tax restrictions still apply. QuickBooks Desktop, payment collection, and unrestricted invoice editing from QuickBooks are outside this rollout.
Set up your company
- Sign in to GMX and open Admin → Integrations → QuickBooks Online.
- Select Connect to QuickBooks. On Intuit’s authorization page, choose the correct company and authorize access.
- Back in GMX, check the company name and manufacturer assignments. Configure the income account, customer matches, and payment mappings shown in the workspace.
- Open an eligible order and review its QuickBooks publishing information. Resolve any customer or accounting review before publishing the invoice.
- Enable the available automatic sync settings only after reviewing the company’s mappings. Review incoming changes on the order; each material financial change requires fresh approval.
When adding another company, use Connect another company. When recovering an existing connection, choose that company and reconnect to the same books.
Your data and controls
GMX stores encrypted connection tokens and the accounting links, settings, and comparison records needed for authorized integration functions. QuickBooks payment information can be retained for reconciliation and, after approval, represented in GMX payment records.
Disconnecting stops GMX synchronization for that company. A separate, verified deletion request removes applicable imported-only data and integration metadata while preserving legitimate GMX wholesale transaction records and authorized retailer access.
